Job Description:
Position Description: Highly responsible position in a friendly work environment as Assistant to attorney Thomas H. Sullivan, both as County Counselor and in his private practice of Estate Planning, Probate and Real Property Law. Salaried position, forty hours per week, M-F 8:00 am-12:00 and 1:00-5:00 pm. in Phillipsburg, Kansas.
Essential Duties and Responsibilities:
- Handles public office reception, filing, photocopying and typing;
- Works independently with little supervision;
- Draft documents from dictation and templates;
- Utilize document creation software to create Trusts and other documents;
- Prepare Deeds and Contracts;
- Prepare accountings;
- Manage Filing system;
- Manage scheduling;
- Customer Service;
- Office management including entering time and charges in software billing system, preparing invoices, collect payments, and ordering supplies;
- Analyze fact situations and take appropriate action based upon attorney’s guidance.
Necessary Qualities:
- Detail oriented;
- Self-starter who can work with little direct supervision;
- Ability to communicate effectively with a remote supervisor;
- Can prioritize and complete tasks in a timely fashion;
- Good writing and grammar skills;
- Can consistently meet deadlines;
- Good proofreader;
- Give patient, helpful and friendly attention to clients;
- Can keep information in strictest confidence.
Necessary Skills:
- Proficient in Word and Excel;
- Experience in troubleshooting computer tech issues;
- Good typing and math skills;
- Ability to apply commonsense understanding to carry out instructions furnished in written, oral or diagram form;
- Ability to write routine reports, memos and correspondence;
- Ability to deal with problems involving several concrete variables in standardized situations;
- Ability to define problems, collect data, establish facts and draw valid conclusions;
- Strong organizational and communication skills;
- Ability to respond to common inquires or complaints from clients or the public;
- Ability to reliably and predictably carry out duties;
